- Introduction
Alto Group Pty Ltd, its subsidiaries and affiliates in Australia (collectively referred to as “Alto Group”) are committed to managing personal information in accordance with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth) (Privacy Act) and in accordance with other applicable privacy laws.
This Privacy Policy sets out how Alto Group collects, stores, uses and discloses personal information in accordance with the APPs.
- Who are we
In this Privacy Policy, "we" and "us" refers to Alto Group and "you" refers to any individual about whom we collect personal information. Alto Group is an automotive group that sells and services motor vehicles and provides related products and services, including parts, accessories, finance, insurance, and vehicle maintenance. Through our rural operations, we also support the agricultural sector by supplying and servicing agricultural machinery, equipment and related products and services.
This Privacy Policy applies in addition to any other privacy or collection statement that may be given at the point of collection of personal information.
- What information do we collect and hold
Alto Group may collect and hold the following personal information about you:
- contact information and identification such as your name, date of birth, telephone number(s), email address(es), residential and/or business address(es), ABN, demographic information (such as postcode, age, gender) and driver’s license details;
- payment details (such as account or credit card details) and payment-related information in connection with your purchase of our products and/or services;
- finance, leasing and insurance details including finance, third-party credit and employment reference verifications;
- vehicle warranty and servicing details provided by our retail group, affiliates or third parties including vehicle registration, vehicle purchase details, name of your selling and/or servicing dealership, service appointment bookings, vehicle service and repair history (including in relation to warranty, repairs and recalls, if applicable), data collected as a result of on-board vehicle telematics;
- information collected from marketing campaigns, product research, customer surveys, your interactions with Alto Group including via social media, or publicly available information that you post or publish;
- employment application information; and
- any other relevant information.
We may also collect and store information through your phone calls to and from our dealerships, customer service lines and other dedicated business lines including the phone number from which you are calling, the name displayed on the caller ID (if available), call recordings and transcripts of calls. We may use and analyse call information to increase or verify the accuracy of caller information, customise customer responses according to call location, inform customer profiles and sentiment and as otherwise set out in this Privacy Policy.
If you choose not to provide us with your personal information, we may not be able to provide you with the services you require, or the level of service on which we pride ourselves.
Providing someone else’s personal information
If you provide us with personal information about another person (for example, a joint vehicle owner, authorised driver, guarantor, referee or contact person), you represent that you have the authority to do so and, where required, have obtained their consent. You must take reasonable steps to ensure that person is aware of this Privacy Policy and understands that their personal information will be collected, used, disclosed and otherwise handled by Alto Group in accordance with this Privacy Policy.
Information we collect automatically
Whenever you visit or interact with an Alto Group owned and operated website or other online platforms (“Platforms”), we, as well as any third-party service provider and/or advertiser, may use a variety of technologies that automatically or passively record information about how the Platform is accessed and used (“Usage Information”). Usage Information may include your IP address or other unique identifier for the device used to access a Platform (“Device Identifier”), browser type, “Device” type (computer, mobile phone, tablet or other device), operation system, application version, date and time of visit, pages viewed, preceding page views and your use of features or applications on the Platform such as interactions with connections or groups.
Usage Information helps us keep our Platforms relevant to users and allows us to tailor content to a user’s interests. Usage Information is generally non-identifying, but if we associate it with you as a specific and identifiable person, we will treat it as personal information.
We may use Device Identifiers to help us administer Platforms, diagnose problems with our servers, analyse trends, observe Platform usage and activity over time, help identify you and your shopping cart, and gather broad demographic information for aggregate use.
Cookies
We or our external service providers may collect cookies from you (data files placed on a Device when it is used to visit a Platform) for security purposes, to facilitate site navigation and personalise your experience while visiting our Platforms (such as allowing us to select which ads or offers are most likely to appeal to you, based on your interests, preferences, location or demographic information).
Our cookies only contain de-identified information. To learn how you may manage cookies, or delete cookies that have already been installed, please refer to your browser’s help menu or instructions. If you disable or opt out of receiving cookies, some features and functions on our Platforms may not work properly. In addition, the offers we provide may not be as relevant to you or tailored to your interests.
Remarketing
We use search engines and social media to advertise our products and services online. Third party vendors, including but not limited to Google, Facebook, YouTube, Instagram use cookies to display relevant ads based on your past visits to our website. Remarketing allows us to tailor our marketing to better suit your needs and display ads that are relevant to you. We respect your privacy and any data collected will be used in accordance with this Privacy Policy, or the privacy policy of other remarketing services that we may use.
You can control your ad privacy settings by toggling your web browser’s individual settings.
Links to other websites
An Alto Group website (and other materials we provide to you) may contain links to third party websites. The operators of those websites may have privacy policies and practices which differ from our own. Alto Group is not responsible for the content of any external website or the privacy practices of any third party.
- How we collect personal information
Alto Group collects personal information in a variety of ways directly from you, including:
- directly from you, when you interact with us in person or by telephone, by electronic messages (including email and SMS) or other forms of communication;
- directly from you, via our internet site (requests for information);
- when you use data-collecting devices, products or systems;
- from our retail group when you purchase a vehicle or have your vehicle serviced and/or repaired;
- from your agents or representatives who act on your behalf;
- from competition entry forms, surveys or at our promotional activities or sponsored events;
- from third parties we contract to collect and/or manage data on our behalf;
- from third parties who you have asked or permitted to provide your personal information (including those parties from whom you purchase goods and services);
- from marketing organisations and industry databases;
- from publicly available sources such as the Internet and telephone directories; and
- from law enforcement, dispute resolution, statutory and regulatory bodies.
- How we use your personal information
Your personal information may be used in order to:
- provide our products and services and those of our related companies and dealerships (whether directly or through our affiliate companies and dealerships);
- market our products and services and those of our related companies and dealerships (whether directly or through our affiliate companies and dealerships or third parties, such as search engines or social media);
- communicate to you in relation to our products, services and our promotional activities (directly or through third parties such as search engines or social media);
- providing customer assistance and support such as vehicle service reminders, service campaigns and assisting with warranty claims (whether directly or through our dealerships);
- improving your customer experience and our marketing, including through data analytics, product planning, product development and research;
- comply with our legal obligations (i.e. in the event of a Vehicle Safety Recall), assisting government and enforcement bodies or regulators, or where otherwise required or authorised by or under law, or an order of a court or tribunal;
- share your personal information with vehicle manufacturers, distributors and other original equipment manufacturers (OEMs) for purposes including complying with legal, consumer protection and warranty obligations, providing customer care and support services, meeting contractual and franchise requirements, undertaking joint marketing and promotional activities, managing product recalls and service campaigns, and improving products and services;
- share your personal information with manufacturers, financiers, insurers, service providers, dealer associations and other business partners for customer support, warranty, finance, marketing, compliance and related business purposes;
- monitor our performance and to help us manage our services;
- identify and contact individuals who do business with us;
- train our employees, agents, dealers and representatives;
- conduct customer and market research and analytics to improve the quality of our products and services;
- assess and process employment applications and manage employment issues; and
- handle complaints and disputes; and
- detect, investigate and prevent fraud.
We may contact and communicate with you either via telephone, post, email or SMS to the extent legally permissible.
We may publish (including by posting on social media) customer testimonials/images/videos which may contain personally identifiable information. In each case, we will obtain the customer’s consent prior to publishing any content.
- Direct Marketing
Alto Group may send you direct marketing to inform you about products or services, special offers, promotions and events that may be of interest to you. These marketing communications may include joint promotions from OEMs or other promotion partners, and may be sent to you using any contact details provided by you, such as post, phone, email or SMS.
Your consent to receive direct marketing communications from East Automotive in the above ways will be deemed if you do not opt out when you are offered the opportunity to do so, and will remain current on an ongoing basis unless and until you advise otherwise. If you do not want to receive such offers from us or do not want us to disclose your personal information to our affiliate entities or dealerships for marketing purposes, you can opt out at any time by contacting us using our contact details provided below or by utilising the “unsubscribe” function in electronic communications. In some circumstances we may need to contact you to obtain additional information, verify your identity or to clarify your request, in order to action it.
If the law requires us to provide you with information about our products or services (for example, product recalls), we will provide that information even if you have elected not to receive information about our products and services generally.
- When we disclose your personal information
We may disclose your personal information to organisations outside of Alto Group. These organisations may include:
- our OEMs;
- outsourced service providers who manage services we provide to you including:
- roadside assistance;
- customer research;
- financial services and insurance;
- mailing systems and direct marketing; and
- market research;
- government, regularity and law enforcement authorities and organisations, as required or authorised by law;
- our related body corporates;
- the agent(s) of any of those entities referred to above;
- your employer (where applicable); and
- our advisors (including legal and accounting advisors).
Those entities are not authorised by us to use personal information for anything other than the purpose for which we supplied that information to them. We may also disclose personal information where you consent to us doing so. That consent may be written, verbal or implied from your conduct.
Outstanding service campaigns and recalls may be made available to subsequent owners (if any) and/or prospects. We do not disclose any personally identifying information about you to subsequent owners of your vehicle.
Overseas Recipients: Your personal information may be transmitted to overseas recipients in order to provide our goods and services in the ordinary course of business (including to the OEM of vehicles or parts purchased from us or serviced by us), or through normal use of our information technology systems. Although it is not practicable to list all the countries in which these recipients are located, they are likely to be in the USA, the UK, Japan, India, Germany, Singapore, the Philippines, the Czech Republic, Hong Kong, Spain or China (“Recipient Countries”). When we supply your information to any overseas recipients, we shall do so only for purposes listed in this policy and in accordance with Australian Privacy Law, as applicable.
- How we hold and store your personal information
Alto Group may hold your personal information in a number of ways, including:
- in our computer systems or databases, which may involve storing data on storage or computer systems provided by third parties including OEMs;
- in paper records;
- in telephone recordings;
- where the information has been collected from our or your agent, or our service providers or dealerships, they may also hold copies of your personal information; and
- we may combine personal information we receive about you with other information we hold about you.
Alto Group will store your personal information in a secure environment. It is protected by a combination of physical and technological measures. We have taken all reasonable steps to carefully protect your data from loss, misuse, unauthorised access or disclosure, alteration or destruction.
Alto Group stores information in paper-based files or other electronic record keeping methods in secure databases (including trusted third-party storage providers based in Australia and overseas). Personal information may be collected in paper-based documents and converted to electronic form for use or storage (with the original paper-based documents either archived or securely destroyed). We take reasonable steps to protect your personal information from misuse, interference and loss and from unauthorised access, modification or disclosure.
Alto Group maintains physical security over paper and electronic data stores, such as through locks and security systems at our premises. We also maintain computer and network security, for example, we use firewalls (security measures for the Internet) and other security systems such as user identifiers and passwords to control access to our computer systems.
Our websites do not necessarily use encryption or other technologies to ensure the secure transmission of information via the internet. Users of our websites are encouraged to exercise care in sending personal information via the internet.
We take steps to destroy or de-identify information that we no longer require.
Help us to ensure we hold accurate information
Alto Group takes reasonable precautions to ensure that the personal information we collect, use and disclose is accurate, complete and up-to-date. However, the accuracy of that information depends on the information you provide. We recommend that you:
- let us know if there are any errors in your personal information; and
- keep us up to date with changes to your personal information such as your name and address.
From time to time, we may ask you if your information is still accurate and up to date. If you find that any information that we hold about you is incorrect, you should contact us immediately and we will take reasonable steps to correct it.
You can access your personal information
You are entitled to access your personal information held by Alto Group on request. To request access to your personal information please contact our Privacy Officer using the contact details set out below.
You will not be charged for making a request to access your personal information but you may be charged for the reasonable time and expense incurred in compiling information in response to your request.
We will take reasonable steps to ensure that the personal information we collect, use or disclose is accurate, complete and up-to-date. You can help us to do this by letting us know if you notice errors or discrepancies in information we hold about you and letting us know if your personal details change.
However, if you consider any personal information we hold about you is inaccurate, out-of-date, incomplete, irrelevant or misleading you are entitled to request correction of the information. After receiving a request from you, we will take reasonable steps to correct your information.
We may decline your request to access or correct your personal information in certain circumstances in accordance with the APPs. If we do refuse your request, we will provide you with a reason for our decision and, in the case of a request for correction, we will include a statement with your personal information about the requested correction.

- Making a Complaint
You may contact Alto Group at any time if you have any questions or concerns about this Privacy Policy or about the way in which your personal information has been handled.

The Privacy Officer will first consider your complaint to determine whether there are simple or immediate steps which can be taken to resolve the complaint. We will generally respond to your complaint within a week.
If your complaint requires more detailed consideration or investigation, we will acknowledge receipt of your complaint within a week and endeavour to complete our investigation into your complaint promptly. We may ask you to provide further information about your complaint and the outcome you are seeking. We will then typically gather relevant facts, locate and review relevant documents and speak with individuals involved.
In most cases, we will investigate and respond to a complaint within 30 days of receipt of the complaint. If the matter is more complex or our investigation may take longer, we will let you know.
